How can a business choose an ERP system that truly meets the needs of its production, warehouse, and sales operations?
The Ukrainian Scale Company approached Kharkiv IT Cluster with this very question, seeking expert support in selecting a solution to manage its business processes.
As part of the BusinessLink project, we connected the company with the Eastern Ukraine EDIH digital innovation hub to help it find an ERP expert. At the same time, during the consultation, we identified a challenge that is relevant to many manufacturing businesses.
Here is how an individual business request became an opportunity to explore solutions for an entire industry.
The Ukrainian Scale Company is a Ukrainian manufacturer of truck and railway scales, with its own production facilities and design bureau. The company supplies industrial weighing equipment to various industries and exports its products to countries across Europe, Asia, and Africa.
For a business like this, it is essential that digital systems support not only accounting but also interconnected production and operational processes.
From Moving Away from 1C to Finding the Right ERP System
Following the start of Russia's full-scale invasion of Ukraine, the company faced the need to move away from 1C. Microsoft Dynamics 365 was selected as an alternative. However, as the company began using the system, it became clear that it did not cover a significant part of its production and operational processes.
The company needed an expert assessment of its current situation and guidance on the next steps: how to select an ERP solution that would meet its actual business needs.
From an Individual Consultation to an Industry-Wide Solution
The BusinessLink team referred the company to the Eastern Ukraine EDIH digital innovation hub, where an ERP systems expert was identified to support the company.
During the consultation, the expert analysed the company's existing business processes. It also became clear that difficulties in selecting an ERP system and coordinating operations across different departments are common challenges for manufacturing companies.
As a result, the team decided to bring the topic to a wider audience and organise a practical webinar for representatives of the manufacturing sector.
Eastern Ukraine EDIH organised the webinar in partnership with the Ukrainian Industrial Cluster and Solvius. Participants explored how to choose an ERP system based on a company's needs, plan the transition from existing software, and account for implementation costs.
The experts also demonstrated, using Odoo as an example, how to integrate the entire order journey into a single system — from sales and stock availability checks to production planning, component procurement, and the shipment of finished products.
For the Ukrainian Scale Company, this provided an opportunity to gain a clearer understanding of ERP selection approaches: identifying which processes need to be considered, what to look for when evaluating systems, and how to plan the next stages of implementation.
At the same time, the webinar offered the company and other manufacturers practical guidance for assessing their own business needs.
The Next Step: Evaluating the Solution for the Company
The work on the Ukrainian Scale Company's request is ongoing. The company is currently awaiting a detailed assessment of the proposed solution's implementation to help determine the next steps.
This case demonstrates how BusinessLink helps businesses access the expertise they need to address specific challenges. Cooperation with Eastern Ukraine EDIH makes it possible to explore such requests in greater depth and identify challenges shared by entire economic sectors.
