Ukraine-Ready4EU: Answers to Key Questions About the Business Development Grant

The Ukraine-Ready4EU initiative offers Ukrainian SMEs the opportunity to expand their business, enter European markets, and become part of the international business environment. The program provides grants to support key business activities aimed at company growth.

Before applying for participation, it is essential to understand all the project details. To make it easier for applicants, we have compiled answers to the most frequently asked questions about the Ukraine-Ready4EU program 👇

1. What is the grant amount, and can I receive more?

The grant is fixed at €2,500, and this amount cannot be increased. However, if actual expenses are lower than planned or are not properly documented, the grant amount may be reduced.

2. What types of activities are covered by the grant?

The grant program covers the following activities:

  • Participation in international conferences, exhibitions, business forums, and missions.
  • Integration of sustainability standards and digital technologies.
  • Product certification in compliance with European standards.
  • Completion of customs procedures for exporting to EU member states.
  • Patent registration and obtaining licenses are required for entering the European market.

3. Who is eligible to apply?

Both legal entities (LLCs) and private entrepreneurs (PE) can apply for participation. It is important to note that each company can submit only one successful application.

4. Does the grant amount differ for LLCs and PEs?

No, the grant amount remains fixed at €2,500, regardless of the type of applicant.

5. Does the project assist with traveling abroad?

No, the program does not provide additional permits for border crossing. Participants must choose representatives who have the legal right to travel abroad.

6. Can a company receive funding multiple times?

No, each applicant is eligible for the grant only once.

7. Where must the business be registered?

The applicant company must be officially registered in Ukraine and operate in a territory controlled by Ukrainian authorities or within the EU.

8. Can a company in the process of liquidation apply?

No, businesses that are undergoing liquidation or closure are not eligible to apply.

9. How can I determine if my business qualifies as an SME?

A company qualifies as an SME if it meets one of the following criteria:

  • Fewer than 250 employees and an annual turnover of less than €50 million.
  • Fewer than 250 employees and an annual balance sheet total of less than €43 million.

You can verify your SME status using the European Commission’s Self-Assessment Tool.

10. Can travel expenses be reimbursed if I use my vehicle?

No, the grant covers only public transportation expenses, including train, plane, bus, or ferry tickets.

Expenses must be documented and properly reported.

11. Can a private entrepreneur (PE) pay expenses using a personal bank card?

Yes, a PE can make payments:

  • From their business account.
  • Using a personal bank card belonging to the PE owner.

12. How should an LLC handle payments for grant-related activities?

All payments must be processed through the company’s official bank account. Expenses paid using personal bank cards will not be reimbursed.

13. How long does it take to review an application, and when should I apply?

The standard processing time for an application is at least 3 weeks. If you apply close to the start date of an activity, approval may not be granted in time. You may proceed with activities at your discretion, but the program does not guarantee reimbursement for expenses incurred before official confirmation of participation.

14. When will expense reimbursements be made?

Grant funds are disbursed after the company completes its activities. You must submit a report and supporting documents (receipts, invoices, bank statements). The committee will review your request and decide which expenses qualify for reimbursement. Processing takes at least 3 months.

15. How can I avoid issues with expense reimbursement?

Before planning expenses, review the Guidelines for Applicants, which outline the program’s requirements in detail. It is also crucial to submit your application on time to avoid delays in the review process.
