The Ukraine-Ready4EU project is a unique initiative that helps small and medium-sized enterprises (SMEs) in Ukraine expand their opportunities, enter European markets, and integrate into the international business community. The program offers grant support for key business activities that foster company growth and development.

To help applicants navigate the program details, we have compiled answers to the most common questions. This information will be useful for those looking to take advantage of Ukraine-Ready4EU’s opportunities.

1. What is the grant amount and can it be increased?

The grant amount is 2500 euros, fixed and non-increasing. However, it may be reduced if the expenses are lower than planned or not properly verified.

2. What activities does the grant program cover?

The grant can be used to finance the following activities:

  • Participation in international events: conferences, exhibitions, forums, business missions, etc.;
  • Product certification according to European standards for export to EU countries;
  • Patenting according to European requirements for export to EU countries;

3. Who can apply?

Legal entities (LLCs) and individual entrepreneurs (IEs) can apply. Please note that each company can submit only one successful application.

4. Does the grant amount change depending on the type of applicant (IE or LLC)?

No, the grant amount is the same for all applicants and is 2500 euros.

5. Can project participants travel abroad?

The project does not provide additional permits for travel abroad. Applicants must choose representatives who can travel independently on legal grounds.

6. How many times can funding be received?

7. Where should the applicant company be registered?

The company must be registered in Ukraine and operate in territory controlled by the Ukrainian authorities.

8. Can a company in the process of liquidation apply?

No, companies in liquidation or cessation of activity cannot apply.

9. What criteria define the status of a small or medium-sized enterprise (SME)?

An SME must meet one of the following criteria:

  • Fewer than 250 employees and an annual turnover of less than 50 million euros.
  • Fewer than 250 employees and an annual balance sheet of less than 43 million euros.

Using the European Commission’s Self-Assessment Tool, you can check whether your company/enterprise qualifies as an SME.

10. Can travel by personal vehicle be reimbursed?

No, only public transportation expenses (train, plane, bus, ferry, etc.) are reimbursable, provided they are supported by a ticket.

11. If an IE applies, can they pay with personal cards?

Yes, an IE can pay all expenses either from the IE account associated with the application or from the personal card of the person owning the IE.

12. Can LLC representatives paying for activities from personal cards be reimbursed?

No, if you apply as an LLC, all expenses must be paid from the LLC’s account. Otherwise, reimbursement will not be possible.

13. If I apply a week before the activities start, how quickly will it be approved? What are the preferred submission deadlines?

The processing time for an application is at least 3 weeks. If you apply with a tight deadline before the activities start, please be aware that it may not be approved in time. You can proceed with activities at your own risk, but the project cannot guarantee reimbursement if expenses were incurred before the official invitation to the project.

14. When will I receive reimbursement?

Reimbursement occurs post-factum: you must complete the activities, submit a report, and provide supporting documents such as receipts, invoices, and bank statements. The request will then be reviewed by the committee, which makes the final decision on reimbursable expenses. The minimum processing time for such requests is 3 months.

15. What should be considered when planning expenses?

When planning expenses, ensure they comply with the program’s requirements — refer to the Applicant Guideline, which outlines all project details. It is also important to adhere to the application approval deadlines to avoid delays or misunderstandings.
